Operations Assistant Job Opening in Glasgow

Job Description

Purpose of Role
To perform the daily duties associated with all Settlement functions to ensure that all settlement functions including but not limited to CREST, Jersey, unit Trusts, Trail Commission, Cash Reconciliations, SWFAL, Dublin OEIC’s and Client money, are carried out in an accurate and timely basis

Tasks and activities
  • Ensure timely settlement of dematerialised trades and the effective clearing of stock from the NCL member account(s) to the member account(s) and vice versa.
  • Requesting and sending of share certificates to clients for physical own name holdings and oversight of the timely settlement of residual bargains.
  • Input of Equity and Unit Trust trades dealt on behalf of International.
  • Timely and accurate settlement of all domestic and foreign unit trust bargains.
  • Investigation and resolution of the daily reconciliation of all residual, CREST and Unit Trust cash positions
  • Input and subsequent authorisation of all trades dealt on behalf of managed SWFAL funds.
  • Input and subsequent authorisation of all trades dealt on behalf of managed Dublin-based funds.
  • Train other individuals on the tasks under your immediate responsibility
  • Liaise with 3rd party providers for the investigation and resolution of issues arising in the settlement arena.
  • Liaise with and understand both internal and external Audit requirements where required
  • Adherence to manual tasks and controls ensuring non-standard tasks are completed accurately and in a timely basis.
Operations Administration
  • Ensure that all tasks are completed to a high standard and that any anomalies are reported to your line manager within agreed timescales
  • Ensure that personal and team KPI’s / KRI’s / MIR are met
  • Provide technical advice to assist in resolving issues or queries which arise within the team
  • Contribute and assist with change initiatives relevant to the team
  • Prepare weekly management information statistics relevant to team duties
Client Servicing
  • Respond to telephone enquiries in a timely professional manner
  • Log, maintain and respond to written client enquiries in a timely manner
  • Contribute to the review of team tasks, identifying improvements with a view to enhancing client service
Team Support
  • Support and provide cover for other members of the team and wider department
  • Assist with training new recruits to the team in BAU activities, acting as a positive role model
  • Contribute to documenting team procedures, periodically reviewing and updating them
  • Attend and contribute to internal team meetings and raise relevant issues with your line manager.
Regulatory & Risk Management
  • Ensure that fair treatment of clients is at the forefront of all activities and that all interactions are conducted in an open and transparent manner
  • Demonstrate a thorough understanding of the firms’ regulatory framework and how this applies to your role.
  • Demonstrate an understanding of the risks to clients within their operation and how these will be mitigated
  • Demonstrate an understanding and application of the Group's Conduct Risk Framework
Personal and Professional Development
  • Ensure that knowledge and skills are maintained and developed in line with industry, regulatory and internal requirements by undertaking regular and appropriate continuous professional development (CPD)
  • Complete and update on the job Training Needs Analysis
Knowledge Management, Administration and Record Keeping
  • Manage records and data appropriately in line with Group policy
  • Operate in accordance with division's policies and procedures manuals
  • Ensure comprehensive client records are kept and that these are accurate and up to date at all times

Candidate Profile

Education and Qualifications:
  • For candidates with no relevant experience, Scottish Higher qualifications (or equivalent) at level C or higher in relevant subject.
  • Relevant professional qualifications e.g. CISI Investment Operations Certificate desirable but not essential
Experience and Skills:
  • Settlement operations experience gained within a financial institution, advantageous but not essential
  • Demonstrable interest in financial services and in particular investment management
  • Working knowledge of Microsoft Office packages: Minimum basic level Word and intermediate level Excel
  • Strong Interpersonal skills are essential, with the ability to communicate well both written and verbally to senior audiences
  • Demonstrate ability to understand and summarise complex information in a professional and concise manner
  • Knowledge and understanding of reconciliations
  • Experience in either a UK or International Settlement environment and to be converse in CREST, Euroclear and Calastone is preferred but not essential.
  • Sound understanding of CASS rules and Client Money requirements.
